Exhibit Booth Questions

What is included with a single exhibit booth?

  • 1 x 8-ft table

What is included with a foyer exhibit booth?

  • Prime location in the foyer area
  • 1 x 8-ft table
  • 2 x side chairs
  • Exhibit booth width: 10-ft
  • Available for Precision Genomics Midwest conference only

What is included with a premier exhibit booth?

  • Double booth and prime location near the entrance to the exhibit hall
  • 2 x 8-ft tables
  • 4 x side chairs
  • Exhibit booth width: 20-ft
  • Available for Precision Genomics Midwest conference only

Is wireless internet access available?

Yes, wireless internet access is free for all exhibitors.

Is electric or power available?

Electrical outlets will be made available upon request. If your company requires electrical/power for your exhibit booth, please contact Sarah DeLaat, Cincinnati Children's CME Project Manager, sarah.delaat@cchmc.org or 513-803-1754.

Are there any restrictions with what exhibitors can setup within their exhibit booth space?

Exhibitors can setup whatever they wish within the allotted booth space. It is the responsibility of the exhibiting company to setup their own booth.

Can exhibitors rent various equipment for their exhibit booth, such as TVs or display monitors?

Yes, at the cost of the exhibitor. If your company would like to rent various equipment for your booth, please contact Sarah DeLaat, Cincinnati Children's CME Project Manager, sarah.delaat@cchmc.org or 513-803-1754.

When is exhibitor check-in/setup and breakdown on both days?

Check-in/Setup: 6:30–7:30 AM
Breakdown: Exhibit booths need to remain setup until 3:30 PM. Exhibitors can begin to break-down their booths after that point.
Please note:
  • Setup/Breakdown times may change slightly and exhibitors will be notified.
  • It is the exhibiting company's responsibility to setup their own booths or make accommodations with a third-party service to do so on their behalf. IDM and PGM conference organizers will not setup any exhibitor booths.

What are the exhibit hall hours?

The exhibit hall hours are still being finalized. Each day, conference attendees will be encouraged to visit the exhibit hall for breakfast, lunch, and the morning and afternoon breaks.

Do companies have to purchase exhibit booth space in order to sponsor a food and beverage option or the promotional conference bag item option?

No, companies do not have to purchase exhibit booth space in order to sponsor any of the four food and beverage options or the promotinal conference bag item option. These options can be purchased separately.

After the conference, will a list of attendees be provided to exhibitors?

A list of conference attendee names and organizations will ONLY be provided – email addresses will NOT be provided. The attendee list will only consist of individuals who have provided permission to share their information.

Demonstration Questions

What is included with a Digital Bite at IDM 2020?

  • Demonstration Duration: 10-minutes
  • Location: Hall of Mirrors (Exhibit Hall) main stage and livestreamed online
  • Companies must purchase exhibit booth space to qualify for this option
  • Companies can purchase more than one Digital Bite if more time is needed for their presentation or demonstration
  • Available for the Innovating Digital Medicine conference only (Thursday, June 25, 2020)

What is included with a 30-minute demonstration at PGM 2020?

  • Demonstration Duration: 30-minutes
  • Location: Separate break-out room (maximum occupancy: 40-50 people)
  • Advertised in the program agenda just like an educational session with the time of the talk, the talk title, and the presenter
  • Conference attendee admission is on a first-come, first-served basis
  • Companies must purchase exhibit booth space to qualify for this option
  • AV, electrical/power, projector and projection screen are included
  • Available for the Precision Genomics Midwest conference only (Friday, June 26, 2020)

Shipping Logistics

How should the packages be addressed to the hotel/conference?

Detailed shipping instructions will be distributed to exhibitors once they have confirmed their registration and paid for their exhibit booth space.

When should exhibit booth packages arrive to the hotel?

No earlier than Tuesday, June 23, 2020.

How should packages be shipped out after the conference?

Packages can be prepped by exhibitors for shipping with all shipping labels attached and left at their exhibit booth table. The hotel will facilitate shipping. It is the exhibiting company's responsibility to prep their own packages for shipping. Tape, scissors and any other related shipping materials will NOT be provided.

What are the hotel costs associated with storing exhibitor packages?

  • Boxes weighing less than 35 lbs. — $1.50 each
  • Boxes weighing between 35-100 lbs. — $5.00 each
  • Boxes weighing more than 100 lbs. will be charged 10% of the box weight.
  • Boxed delivered off-property will be assessed an additional $15.00
  • Pallets or crates: there will be additional charges based on weights. Contact the Cincinnati Children's CME office to discuss delivery instructions: cme@cchmc.org or 513-636-6732


Miscellaneous

Can exhibitors sit in on the educational presentations?

Yes. However, we kindly ask that exhibitors familiarize themselves with what they can and cannot do onsite per the Letter of Agreement (LOA). For example, when in the educational space, exhibitors are not allowed to participate in Q&A.
